| The Conference Manager (Farm to Table) is responsible for managing activities related to conference proceedings and social programs of the MCCNO Trade Show Department. These duties include but are not limited to high profile key note programs, general sessions, panel discussions, educational breakout sessions, certification programs, continuing education opportunities, meetings, exercises, off-site programs, and social events. The Conference Manager is also responsible for executing trade show exhibit and sponsorship sales, providing excellent customer service and benefit fulfillment to exhibitors and sponsors. Sales efforts include identifying and closing exhibit sales, sponsorships, advertising sales. |
MAJOR ACCOUNTABILITIES include the following. Other duties may be assigned.
Issue and manage Call for Presentation programs. Oversee proposal submission and selection processes, including managing and maintaining an abstract management database. Coordinate all communication to and from speakers and committee members. Manage and build online registration portals for each conference as well monitor online registrations. Work with selected registration vendor, manage onsite Temporary Staff/Labor and manage on-site registration process. Assist in coordination planning logistics and onsite supervision of social events/food and beverage events.
Pitch, negotiate and close exhibit and sponsorship sales from the inception of the sale, contract negotiation through post-event entitlements. Develop and maintain strong relationships with key clients. Oversee pre-event, on-site and post-event conference activity including but not limited to managing conference session room assignments, creating the “Show Guide” and distribute event information to all event staff, reconciliation final billing for all orders associated with conference events, manage speaker thank you notes, and expense reimbursements, post-show survey programs and post-show reports. Coordinate the processing of exhibitor contracts, respond to all incoming sales and manage booth change requests. • Be the main point of contact for all exhibition / sponsorship related questions and customer service issues. • Provide onsite exhibitor sales, service and support at trade shows and conferences.
Manage hotel master account reservations, keeping master list of travel details, communicating hotel pick up numbers.
Work with MCCNO Marketing Team to strategize and develop marketing campaigns supporting the exhibit and sponsorship sales programs. Strategize, develop and create exhibit and sponsorship materials.
Prepare reports and updates for Executive Committee meetings, and serve as primary contact to Executive Committee Members for all conference-related issues. Manage meeting logistics for committee members and event staff: reserve rooms, contact hotels, send meeting notices, order audio-visual, draft minutes, distribute meeting materials and minutes, and coordinate follow-up issues.
Assist in the management of all BEOs, audio equipment orders, sign orders, and any other services associated with conference operations. Manage special considerations, including F&B requests (i.e. Kosher meals), language translation services, and ADA compliance. Research and identify vendors and related businesses to solicit for exhibitors / sponsors of MCCNO events. • Conduct routine competitive analysis and research to generate new business.
Assist in areas outside the normal duties directly related to conference events.
Bachelor's degree from four-year college or university; and two to four years of related work experience in the field of event / conference management, or equivalent combination of education and/or work experience. Three years in a supervisory/ management position desired. Certification from a related professional trade organization desired. Intermediate level of proficiency in Microsoft Word, Excel and PowerPoint required. Familiarity with eShow and Zoho are a plus.
