This position is responsible for coordinating and facilitating events as assigned for the Hershey Entertainment Complex venues including Giant Center, Hersheypark Stadium, Hershey Theatre, Hersheypark Arena, Hershey Entertainment Complex Parking Lots events, and various Hershey Destination Entertainment offerings. The Manager, Event Services serves as the primary event execution contact for ensuring that the operational needs of our clients are met by coordinating internal and external resources to properly execute all event service’s needs.
Manage assigned activities and events at assigned venues from initial planning stages through the invoicing and final settlement.
Meet with clients and promoter reps and to walk-thru venues and plan potential events.
Communicate with union representative to fill needed labor calls.
Communicate and coordinate with Manager, Event Operations and Ice Bookings for all set-up needs.
Coordinate the delivery, operation, and return of all desired rental items requested by client.
Coordinate all necessary permits needed to present the event.
Provide on-site facility representation for pre-rigs, load-ins, events, and load-outs.
Communicate with our client all expenses pertaining to the event.
Create, track, explain, and provide event estimates to financial operations for settlement purposes.
Coordinate and communicate all event logistics within the complex event database system in order to communicate event information will necessary departments.
"Advance event" with assigned clients, customers, promoter representatives, and any other event leaders with a scheduled event at assigned venues by establishing the timing and flow of event and determining the staffing and equipment needed to load-in, present and load-out the event
Demonstrate leadership through duties including, but not limited to: Oversight and development of Event Coordinator Staff, Schedule Event Coordinator Staff as needed for event coverage while keeping budget front of mind.
Act as MOD for complex, as assigned.
Participate in weekly Event Planning meetings
Meet with all potential clients to walk-thru venues and discuss potential events and activities.
18 years of age or older
Must have a valid Drivers' License
Minimum of 2 years of related venue experience
Minimum of 1 year supervisory experience
4 years of relevant work experience can be substituted for education
Event management experience in the Arena/Stadium/Sports Management or Public Assembly Facility Operations preferred.
Skilled in the use of Microsoft Office applications, including Excel and Word.
Must demonstrate attention to detail.
Must be able to multi-task, prioritize effectively and adapt quickly to changing priorities.
Physical Demands & Working Conditions:
Work shifts may involve long hours, depending upon event schedule and demands of the job responsibilities. Must be able to work a flexible schedule, including evenings, weekends and holidays, based on calendar of events.
This job requires minimal visual requirements. Able to distinguish unlike items, detect motion, and distinguish color.
This job requires a good sense of vision (either corrected or uncorrected). Visual ability to operate moving equipment such as a car, truck, golf carts, etc.
This job requires the visual ability to perform detailed work at close distances (computer screens, accounting ledgers, using measurement devices).
This job regularly requires verbal communication of detailed information to others either by phone or in person.
Substantial movements (motions) of the wrists, hands, and/or fingers (Repetitive motion).
The position is subject to noise. There is sufficient noise to cause the worker to shout in order to be heard above ambient noise level.
